Welcome to the new meeting room booking system user guide! This document will guide you through the process of adding the GoBright app to Microsoft Teams and using it to book meeting rooms.
Adding GoBright App to Microsoft Teams
Step 1: Open Microsoft Teams
Open Microsoft Teams on your desktop or web browser.
Step 2: Access GoBright via Teams
In the left-hand sidebar, click on the "GoBright" icon at the top to access the app.
Step 3: Sign In to GoBright
Once the app is added, open it from the sidebar or your Teams apps list. You will be prompted to sign in. Use your GoBright account credentials to log in.
Using GoBright to Book a Meeting Room
Step 1: Open the GoBright App
Open the GoBright app from the Teams sidebar or apps list.
Step 2: Select 'Add booking'
On the main screen of the GoBright app, click on the "Add booking" option.
Step 3: Choose Date and Time
Select the date and time for your meeting. You can use the calendar to pick the date and the time slots to choose your desired time.
Step 4: Select a Meeting Room
A list of available meeting rooms will appear based on your selected date and time. Choose the room that best suits your needs by clicking on it.
Step 5: Add all the attendees, subject of the meeting and email message,
By default, it will create a Team meeting link for the event, you will only need to add all the attendees to the meeting and message to the attendees (if any).
Note: If you need to edit the message after creating the meeting, please navigate to Outlook. Update the event details there, rather than modifying the message in GoBright. Keep in mind that if you update the message in GoBright after creating the meeting, it will replace the existing text and the team meeting link. So, for any changes or edits, always use Outlook to ensure consistency and accuracy.
Step 5: Select Refreshments (Optional)
Once you select a meeting room, you will have the option to add services such as catering, water, or special arrangement. Select the services you need and add them to your booking.
Step 6: Confirm Booking
Review your booking details. If everything is correct, click the "Save" button. You will receive a confirmation notification via outlook and you will see the meeting event on your calendar.
Interactive map
The dashboard's interactive map feature enables you to hover over any room dot to dee additional details. Meeting rooms that are free to use are marked in Green, while occupied rooms are marked in Red. This functionality not only provides quick information about the room but also allows you to book it directly from the map, saving you time and ensuring a seamless booking experience.
