Microsoft Office includes built-in translation tools that allow you to translate text between languages. To use these features effectively, you may need to install additional languages. Here's how to do it:


Windows Devices (Office 365 / Office 2021/2019)


Step 1: Open Language Settings

  1. Open any Office app (e.g., Word).
  2. Go to FileOptions.
  3. Select Language from the left-hand menu.


Step 2: Add a Language

  1. Under Office display language or Office authoring languages and proofing, click Add a Language.
  2. Choose the language you want to use for translation.
  3. Click Add.


Step 3: Install Language Pack (if needed)

  • If the language pack is not installed, Office will show a link to download it.
  • Follow the link to install the Language Accessory Pack from Microsoft’s official site.
  • Restart Office apps after installation.


Step 4: Use the Translation Feature

  1. Select the text you want to translate.
  2. Go to the Review tab.
  3. Click TranslateTranslate Selection or Translate Document.
  4. Choose the target language and click Insert or Translate.


Mac Devices (Office 365 / Office 2021)


Step 1: Set Up Language

  1. Open Word, Excel, or PowerPoint.
  2. Go to ToolsLanguage.
  3. Select the language you want to use and click OK.


Step 2: Use Translation

  1. Select the text.
  2. Go to the Review tab.
  3. Click TranslateTranslate Selection.
  4. Choose the target language and confirm.


 If translation options are missing, ensure your Office version is up to date via Help → Check for Updates.

  • You can translate entire documents or selected text.
  • Translation works across Word, Excel, PowerPoint, Outlook, and OneNote.
  • For best results, ensure your Office apps are updated and the necessary language packs are installed.
